What is the deadline to submit a proposal?
The deadline to submit a proposal was March 1st 2010. The Call for Proposals is now closed.

How long are panels allowed to continue?
Each panel may run up to a maximum two hours.

When can one ask to Chair a session?
Participants interested in volunteering their services as Chair of put-together panels (the panels that were assembled from individual paper submissions) are invited to check the call for Chairs section, under the Program Section, that will open in April 2010. Please check the News section for updates on this topic.

What are the responsibilities of a panel chair?
The Chair is responsible for introducing each of the paper presenters, monitoring the time of their presentations, and insuring that the panel ends promptly at the scheduled time. The Chair is requested to facilitate the discussion session, and to open the floor to questions for the panelists. Sessions have a maximal duration of 2 hours. Consequently, each presenter is expected to give a 15-20 minutes presentation depending on how many papers there are within a panel, panel structure, etc.

What are the responsibilities of the panel discussant?
Discussants are responsible for commenting on papers and presentations in order to provide constructive discussions and raise issues for broader consideration in relation to the presented works. It is expected that the discussant may draw upon his or her expertise or views in commenting on papers or presentations. The session, however, is not the appropriate occasion for a discussant to present his/her personal work.

When will I be informed if my submitted proposal has been accepted?
The revision process requires a minimum of two weeks. Applicants with accepted proposals will be notified by the organizers once the process has been completed.

How can I check ALL accepted proposals?

Is participation in multiple panels possible?
Only one paper per participant, and one additional participation as chair or discussant is permitted.

When will I know about the scheduling of my panel?
Panel Presentations will take place between Monday 19th afternoon (2.30 pm) and Friday 23rd evening (7 pm). The final schedule of panels are now available on the WOCMES website.

My proposal has been accepted. What should I do now?
WOCMES registration is required to participate in the congress. Once a proposal is accepted participants are kindly required to fulfill the registration procedure. One could simply verify his registration by checking the list of participants published on the WOCMES website under Registered Attendees
There is NO need to send any additional documents e.g. paper, recommendations, etc.

Due to arising conditions I would not be able to attend the WOCMES. Can somebody substitute me in order to read my proposal?
It is possible for a person to substitute another provided that substitution happens within the same registration category (normal or students). According to the congress cancellation modalities.

When should I deliver the full text of my presentation?
The full text of your presentation is not requested by the organization.


What should one do if he/she has registered in the congress but his/her name does not appear in the “Registered Attendees” section?
After registering online, please wait for a period of 1 week until your application is fully processed. If your name still does not appear on the Registered Attendees list, please write to us at

I would like to cancel my participation, would I get refunded?
The deadline for withdrawal requests was on February 1st, 2010. Thus, we apologize, but there shall be no refund [to read instructions please click here]. However, as detailed earlier in this section, a substitute participant can be nominated.

Are there any programs for assisting in covering Flight and Accommodation expenses?
The Financial Assistance Program is now closed and therefore no additional requests can be received. Shall any other possibilities arise; WOCMES will do its best to keep participants updated about their availability. Updates will be published on the website once available.

I have applied for the Financial Assistance Program (FAP), when will I know if I can benefit from it?
The selected applications of the Financial Assistance Program have been published. Applicants not selected will have to pay the initial fees (fees before February): the regular (85 euros) or the student (50 euros) fees.

I would like to pay directly in Barcelona, is it possible?
Persons unable to pay the fees directly due to money transfer difficulties from their country of residence are kindly requested to directthis information to the WOCMES Secretariat at . In such cases an arrangement could be made to pay on-site the fee-value specified at the time of registration.
However, if there are no technical obstacles, and yet the person wishes to pay on-site, please note that though it is possible, the registration fee is higher. For more information please check the rates at the Registration Instructions webpage.

My participation-proposal has a co-author. Does the co-author have to be registered or is my registration enough?
All participants attending WOCMES must be registered. Thus, if the co-author desires to participate in the Congress, he/she as well must register using the online form.

How can I find and/or arrange for accommodation in Barcelona?
The organizers have put together some information about accommodation possibilities in Barcelona over the period of the Congress. This information can be found on the WOCMES website on the Venue page.
